Why to use database?

Databases offer an excellent mechanism for storing, managing and retrieving information. They do so through the use of tables, which consist of columns and rows like spreadsheet. But databases are much more powerful than spreadsheets. Here are just a few of the actions that you can perform on a database that would be difficult to perform on a spreadsheet:

Choosing a Database Product: desktop or server database?

Databases can be divided into two categories - desktop databases and server-side databases. Desktop databases are oriented toward single-user applications and reside on standard personal computers or desktop. Server databases are geared toward multi-user applications. To choose a database you should answer the following questions:
Who will be using the database and what tasks will they perform?
How often will the data be modified?
Who will make these modifications?
Who will be responsible for maintaining the data?
Will data access be offered over the Internet? If so, what level of access should be supported?

Desktop databases

Desktop databases designed to run on “desktop” or personal computers. Microsoft Access, Fox Pro, File Maker Pro, Paradox and Lotus Approach are the most popular desktop databases. They are inexpensive. If you own a copy of Microsoft Office Professional, you’re already a licensed owner of Microsoft Access. Desktop databases are user-friendly. A deep understanding of database SQL language is not required when using these systems. They usually offer an easy to navigate graphical user interface.
Many modern desktop databases provide limited web functionality enabling you to publish your data on the web in a static or dynamic fashion.

But desktop databases also have a number of limitations:
· Despite the claims of manufacturers, most desktop databases only allow one concurrent user to modify the database.
· Desktop databases have very weak security. Most desktop databases support a simple password protection scheme.
· Desktop databases are not designed for the Internet. If you’re simply looking to publish data on the web, a desktop database will work fine. However, if you’d like to create an interactive system that allows Internet users to modify and insert data, you’ll be better off with a server-based database.

Server database

Oracle, Microsoft SQL Server and MySql are the most popular server databases. These databases enable many users to access and update the data simultaneously.
Unlike desktop databases, server-based databases can handle just about any data management problem you can throw at them.
Server-based databases can manage multiple high-speed processors, clustered servers, high bandwidth connectivity and fault tolerant storage technology.

There are a few of the limitations:
· Specialized knowledge/training is required. A server-based database is not something that beginner can learn in a couple of weeks.
· A deep understanding of database SQL language is required to design database query.
· Your end users will not be presented with a friendly graphical interface and will have to deal with intricacies of database SQL language, unless you create or purchase one for them.
